Position Summary:

Under the direction of the Associate Dean, the R&I/Beall Center Associate Director is responsible for the administrative, financial, and management of the R&I/Beall Center. Responsible for managing purchasing, including Kuali, vendor & artist agreements; obtain appropriate authorization, ensure the correctness and completeness of all forms, and follow all purchasing and accounting policies and procedures. Responsible for management of center budget. Oversee development of financial reports, conduct analysis of project and financial resources. Develops and oversees contract and grant management. Responsible for inventory management. Liaison with Dean’s office, Business Office, Development, Marketing, and Technology to ensure compliance with policies. Works closely with the Artistic Director, Beall Center for Art and Technology. Coordinates administrative functions to ensure smooth business operations. Assist with archival and curator work.

Uses skills as a seasoned and experienced administrative operation professional to manage, plan and administer the operations of a small to mid-sized academic or non-academic department or organizational unit with limited scope. May report to a chair, director, or a higher-level administrative operation professional or manager. Perform short- and long-term planning for the organization. May supervise staff or students. Demonstrates good judgment in selecting methods and techniques for obtaining solutions.

Compensation Range:
 
$31.75 - $46.41
 
Required:
 
Bachelor's degree in related area and / or equivalent experience / training.
Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills. Knowledge of a variety of administrative operational activities such as event planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines. Strong writing, communication, and proofreading, required, including website editing, contract report writing, memos and precise correspondence. Effective interpersonal skills and demonstrated ability to establish good working relationships within all levels of the school and with outside agencies. Demonstrated ability to work with others from diverse backgrounds with understanding of diversity, equity, inclusion, and belonging. Strong skills in short-term planning, analysis, problem-solving, and customer service. Thorough knowledge of financial analysis and reporting techniques, and / or human resources policies and procedures for staff and academic employees. Demonstrated problem-solving skills. Demonstrated ability to maintain workflow with changing priorities and frequent pivots and to prioritize workloads. Strong policy analysis techniques.
 
Preferred:
 
Knowledge of UC/UCI’s policies and procedures, especially travel, entertainment and purchasing. Experience with UC/UCI’s administrative tools such as: Kuali Financial System (KFS) UCIBuy and other UCI purchasing tools Connexxus (UC s travel tool) Skills in grant writing or extramural funding management experience. Interest and knowledge of visual art and curation.
 
This is a one-year contract appointment position with the possibility of additional year contract appointment extensions, up to 3 years max.
